Collection of personal information for the SRN procurement 

In addition to the information we collect under the DMSL privacy policy, we will collect and process personal information about you if you register with us for information about the SRN procurement. Personal information is any information which identifies you personally whether directly (for example, your name) or indirectly (for example, the company you work for).

What personal information we collect for the SRN procurement and why

We collect the following information from potential suppliers: Your name: This allows us to refer to you when speaking to you and to address any correspondence we may need to send to you specifically. Your title: this is to ensure we provide relevant information for your role. Your company: we collect this to allow us to maintain a register of interested companies and to engage with these for the purposes of the SRN procurement. Your email address: we will need you to provide us with your email address so that we may provide relevant information about the procurement process. Your company’s registered address: for inclusion on SRN procurement related documents.

We may share your personal information with the named trusted third-parties below who we are legally required to share information with for the purposes of the SRN procurement and/or are involved in making decisions in the SRN procurement process.

We may also share your personal information with other third-parties who will help us with evaluation of responses to the SRN procurement.  We will enter into confidentiality and data processing terms with such third parties to ensure they comply with high levels of confidentiality and best practice in data processing.

We will never share your personal information with other registered suppliers on the SRN procurement.

Retaining personal information 

We will hold your personal information until the SRN procurement process is complete. Thereafter, we will keep your personal information for as long as it is necessary:

  • to respond to any questions, complaints or claims made by you or on your behalf;
  • to show that we treated you fairly; and/or
  • To meet legal or regulatory requirements, resolve disputes, prevent fraud and abuse or enforce our terms and conditions.

When it is no longer necessary to retain your personal information, we will delete or anonymise it.
